ROLE DESCRIPTION

We are seeking an experienced and proactive Office Manager to join MANUAL as we transition to a new office near London Bridge. As an integral part of our People Team, the Office Manager will focus on maintaining and enhancing the efficiency and functionality of our office space, while also assisting with various administrative tasks and facilitating initiatives across MANUAL globally.


This role is crucial to ensure smooth daily operations and to manage the logistics and setup of our new office space. The ideal candidate will be highly organised, detail-oriented, and capable of handling a variety of tasks with minimal supervision. You will work closely with our CEO & Co-Founder, VP Finance and members of the People Team.


RESPONSIBILITIES
London HQ Management:

  • Ensure a welcoming, clean and well-organised office environment by overseeing supplies, equipment maintenance and continuous improvement to enhance our workspace for all our team members

  • Manage the logistics of moving into our new office space, coordinating with suppliers, contractors, and internal teams to ensure a smooth transition

  • Take full ownership of office-related tasks such as room bookings, greeting visitors, managing deliveries, and maintaining an efficient front of house.


Event Coordination:

  • Collaborate with our social and Inclusion, Diversity, Equity and Accessibility (IDEA) and Social Committee to support various social and awareness events, including PRIDE month, Black History month, International Women's Day, Mental Health Awareness week, monthly socials and holiday parties, fostering a positive and inclusive company culture


Health & Safety and Compliance:

  • Ensure the London HQ complies with all health and safety regulations, maintaining a safe and compliant work environment for all employees.

  • Work with the Head of Risk and Compliance to manage health & safety monitoring


Office Budget Management:

  • Manage the office budget, prioritising spending based on the company’s business goals

  • Monitor expenses related to office supplies, events, and maintenance to ensure financial efficiency


Internal Communication:

  • Create and manage internal communications related to office administration, employee engagement, and company-wide initiative

  • Act as the point of contact for all office-related enquiries from employees across the organisation

Job requirements

  • Proven experience in office management or a related role in a dynamic environment

  • Proactive approach with a willingness to take initiative

  • Strong organisational and time management skills with the ability to handle multiple tasks and prioritise requests efficiently

  • Excellent written and verbal communication skills

  • Attention to detail and a focus on maintaining high standards

  • Able to influence senior stakeholders leveraging data

  • A keen eye for design to ensure alignment with brand standards

  • This is an office-based role 5 days per week (Monday - Friday) on site from 8:30am - 5pm
